Let me share what I've learnt about process improvement over 14 years in business.

I've been there. When I started Audio & Co® back in 2010, I thought having great skills and working hard would be enough. Turns out, I was wrong. It wasn't until I started implementing proper business systems that everything changed.

Forget the corporate nonsense about Six Sigma and lean methodology (unless that's your thing). For small businesses, process improvement simply means finding better, faster, and less stressful ways to get things done.
It's about documenting how you do things so you're not reinventing the wheel every single time. It's about creating business efficiency that gives you back your time and sanity.
When I first started improving our processes, I began with the tasks I was doing repeatedly. Client onboarding, podcast episode production, book publishing workflows. Each time I found myself doing the same thing twice, I'd document it. No fancy software required, just a simple document outlining the steps.
The Three Areas That Need Your Attention First
1. Client-Facing Processes
Your clients don't care about your internal chaos, but they absolutely notice when things are inconsistent. I learnt this the hard way when we had three different ways of onboarding podcast clients, depending on who they spoke to first.
Start here:
- How do potential clients first contact you?
- What happens when someone becomes a paying client?
- How do you deliver your service or product?
- What's your follow-up process?
Document each step. I mean actually write it down, screenshot it, record a quick video. Whatever works for you. The goal is that someone else (or future you when you're frazzled) can follow it without guessing.
2. Internal Operations
This is where the magic happens for business growth. When I finally sorted out our internal processes, we went from chaos to calm in about three months.
The game-changers for us were:
- Standardised file naming and storage systems (no more hunting for that one document)
- Email templates for common responses
- Project management workflows that everyone understood
- Weekly team check-ins with a consistent agenda
I know it sounds boring. It is boring. But boring processes give you the freedom to be creative where it matters.

Money stuff. The thing most of us avoid until we absolutely have to deal with it.
But here's the truth: improving your financial processes is one of the fastest ways to reduce stress and improve productivity. When you know exactly where your money is, where it's going, and when it's coming in, you can make better business decisions.
Simple improvements that made a massive difference for us:
- Set invoicing days (we do ours every Monday)
- Automated payment reminders
- Monthly financial reviews in the calendar
- Clear expense tracking system
Nothing revolutionary, but consistently following these small business tools transformed how we run our finances.
How to Actually Implement Process Improvement
Right, enough theory. Here's how to actually do this without overwhelming yourself.
Step 1: Pick One Thing
Seriously, just one. I see so many business owners try to fix everything at once and end up fixing nothing. Choose the process that's causing you the most pain right now.
For me, it was client onboarding. I was spending hours sending the same information, answering the same questions, and still forgetting crucial steps.
Step 2: Document What You're Currently Doing
Next time you do this task, write down every single step as you go. And I mean everything, even the obvious bits. You'd be surprised what you forget when you're trying to explain it to someone else later.
Step 3: Identify the Bottlenecks
Where are you getting stuck? What's taking too long? What keeps going wrong?
When I mapped out our podcast production process, I realised we were sending files back and forth via email like it was 2005. Moving to a proper project management system cut our turnaround time by two days.
Step 4: Simplify and Automate
Look at your documented process and ask yourself:
- Can I eliminate any steps?
- Can I combine any steps?
- Can I automate any steps?
- Can I template any steps?
I'm not talking about expensive automation software. Sometimes it's as simple as creating an email template or a checklist.
Step 5: Test and Refine
Your first version will not be perfect. That's fine. Use it, see where it falls down, and adjust. We're running version 3.0 of most of our processes now, and they're still evolving.
The Reality of Business Systems
Look, I'm not going to pretend that setting up business systems is exciting. It's not. It's tedious, it takes time, and you won't see results immediately.
But after 14 years of running a business, training over 120 business owners, and publishing 400+ books for clients, I can tell you this: the businesses that grow sustainably are the ones with solid processes.
The ones that don't? They stay stuck in the same place, with the owner working harder and harder just to stay afloat.

You don't need perfection. You need progress.
